Role Overview We are seeking a highly diligent, detail-oriented, and personable Marketing & Administrative Coordinator to support the daily operations of a fast-paced, professional environment. The ideal candidate is proactive, dependable, and tech-savvy, with exceptional follow-through and communication skills. This role involves coordinating vendors, managing meetings, handling phone communications, and supporting marketing tasks. Schedule: 9:00 AM to 6:00 PM PST (USA) Your Responsibilities Will Include but Are Not Limited To: Coordinating and communicating with marketing vendors Managing and staying on top of meetings Scheduling and confirming meetings through Google Calendar Assisting with professional phone handling (via VOIP: Yealink) Monitoring and managing Gmail inboxes Tracking and following up on outstanding tasks and commitments Ensuring projects and communications are completed on time Using tools like Lawmatics and spreadsheets for organization and CRM tracking Supporting content scheduling and coordination using Canva and Hootsuite Working efficiently in a secure environment using VPN when required Maintaining clear and timely communication with internal and external contacts Taking initiative to solve problems or escalate as needed What We’re Looking For: A minimum of one to two years of experience in a similar administrative, operations, or coordination role Strong proficiency in written and spoken English and Spanish Familiarity with Gmail, Google Calendar, and Google Workspace Experience with tools like Lawmatics, spreadsheets, Canva, and Hootsuite Comfort with using VOIP systems like Yealink Comfort with a high volume of calls and client-facing interactions Excellent interpersonal and communication skills A detail-oriented, organized, and highly proactive individual Dependability, responsiveness, and the ability to manage follow-through A positive, solutions-focused attitude Strong problem-solving and time management abilities Comfort with coordinating across multiple platforms and stakeholders Trustworthiness, with a strong sense of accountability and discretion Your own laptop/computer, headset, and high-speed internet (minimum 10 Mbps down / 5 Mbps up) A quiet, dedicated home workspace for remote work What's in It for You?
