Executive Assistant / Operations Coordinator Full-Time | Remote (Central/South America) This is a remote/work-from-home position as an independent contractor with growth potential. Travel is not required, but having your own setup (laptop/PC plus reliable high-speed internet) is. Who We're Looking For We are seeking an Executive Assistant / Operations Coordinator to serve as the administrative backbone of our organization. This role is ideal for someone who is exceptionally organized, detail-oriented, and proactive. You will help our CEO and leadership team manage communications, schedules, and project coordination, ensuring that our consultants and creative team can focus on delivering high-quality customer education solutions. Role Responsibilities Email & Communication Management Organize and manage the CEO’s inbox with predefined labels and rules. Respond to client inquiries promptly and professionally. Triage incoming messages and prioritize based on urgency. Draft and send routine correspondence on behalf of leadership. Calendar & Meeting Coordination Schedule and coordinate meetings while protecting the CEO’s deep work time. Manage meeting requests and prioritize scheduling based on business needs. Prepare agendas and necessary materials for meetings. Coordinate virtual meetings logistics via Zoom. Project Coordination & Quality Control Track client feedback, comments, and revision requests across educational materials and creative assets. Organize and communicate feedback to the creative team. Follow up to ensure timely completion of revisions. Maintain accurate records of project status and outstanding items. Serve as a liaison between the creative team, consultants, and leadership. Content Management & Marketing Support Schedule and manage social media content using Growth Works (Go High Level) . Assist in preparing and distributing weekly customer email campaigns. Format and organize content from the creative team. Ensure timely publication of marketing materials. What We Offer: Competitive pay starting at $1,300/month for full-time work (around 40 hours a week). Remote schedule: Work during U.S. Central Time hours (8:30 AM - 4:30 PM CST). M-F. Skills & Experience Must-Have Skills: 1-2 years of experience in an Executive Assistant or Operations Coordinator role. Exceptional organizational and time management skills. Strong written and verbal communication abilities in English . Proficiency in Google Workspace (Gmail, Calendar, Docs, Sheets) . Familiarity with Go High Level/Growth Works or similar CRM platforms. Proficiency with AI tools (Claude, ChatGPT, Midjourney) and prompt writing. Experience with Zoom and virtual meeting coordination. Detail-oriented with strong follow-through. Ability to prioritize competing demands in a fast-paced environment. Self-motivated with a proactive problem-solving approach. Nice-to-Have Skills: Background in SaaS, technology, or educational content creation . Experience managing review and revision processes for creative assets. Understanding of customer education or training material development . Experience using AI for content creation and workflow automation.
