We’re a US-based organization working across multiple ventures and portfolio companies, and we’re looking for a versatile, resourceful Executive Assistant to partner directly with a senior executive. This role goes beyond calendar management — you’ll play a critical role in ensuring the smooth flow of daily operations, client communications, and cross-functional projects. Responsibilities Executive Support & Calendar Management: Manage complex calendars and scheduling across time zones. Route and triage inbound calls and messages to the appropriate team members. Support coordination of travel logistics for speaking engagements and business events. Assist in planning and execution of internal and external meetings. Client & Community Management: Provide exceptional onboarding and ongoing support to new clients. Serve as a point of contact for client inquiries and community engagement. Maintain CRM systems and client databases to ensure accurate, up-to-date records. Marketing & Content Creation/Editing: Draft and prepare monthly newsletters across various companies. Plan, produce and edit short-form video content for different social media platforms using tools like CapCut, Adobe Premiere Pro, or Canva. Assist in executing marketing campaigns, including tracking performance and managing timelines. Operations & Project Support: Monitor and update KPI reporting systems across business functions. Oversee document management, data entry, and file organization. Lead or assist in special research projects as assigned. Identify inefficiencies and contribute to process improvements and SOP development. Qualifications Fluent English (C2+ level), with clear and professional communication skills. 3+ years of experience in executive support, marketing, or a similar role. Strong multitasking, time management, and organizational skills. Self-starter with a proactive mindset and a sharp attention to detail. Tech-savvy with experience using tools like Google Workspace, Asana, Airtable, PandaDoc, LinkedIn, and major CRM platforms. Comfortable working independently and remotely in a collaborative team environment. Ability to work directly with a senior top executive across a portfolio of impactful businesses.
