As a **Virtual Assistant**,**you will coordinate and support document signings from start to finish, ensuring accuracy, timely communication, and a smooth client experience. You'll manage scheduling, tech support, and post-signing processes with attention to detail and professionalism. **Some of your responsibilities are but are not limited to**: - Schedule and confirm appointments for RON, in-person, and hybrid signings, as well as binder deliveries—ensuring seamless coordination and punctuality. - Provide Document Concierge support by pre-checking documents, preparing key data, and sending print-ready files. - Coordinate with notaries and witnesses, track shipments, and ensure all elements are in place before appointments. - Conduct thorough quality checks by reviewing names, dates, addresses, and notarization blocks to ensure accuracy and consistency. - Prefill essential data ahead of signings to streamline the process and minimize errors. - Offer first-line tech support during Zoom notarizations, guiding clients through digital signing platforms with ease. - Track notary progress in real-time using mapping tools, and proactively communicate any delays or updates. - Oversee post-signing activities such as high-resolution scanning, electronic deed recording, binder assembly, and secure delivery. - Support estate planning attorneys by gathering client information, explaining signing options (remote vs. hybrid), and ensuring a compliant, hassle-free experience. **Requirements**: **What would help you succeed**: - Believe and love what you do. - Attention to detail. - Organizational skills. - Time management. **Minimum requirements**: - **Studies**: Desirable studies in International Business, Business Administration, Industrial Engineering, Foreign Languages, Foreign Trade, or Logistics related. - **Experience**: At least 1 year of experience as a virtual assistant - **Language**: Advanced English skills.
