About the Role We’re looking for an Executive Assistant who is not only highly organized and detail-oriented, but also eager to grow into a more strategic, operations-focused role. You will serve as a key partner to company leadership, managing both business operations and personal logistics. Over time, you will also take on responsibilities that align more closely with a Chief of Staff—such as project ownership, decision support, and cross-functional coordination. Key Responsibilities Calendar and Schedule Management - Manage a dynamic, multi-time-zone calendar (US, Europe, Middle East) - Schedule internal and external meetings, calls, and events with an eye on strategic priorities - Balance focus time, recurring check-ins, and personal obligations Travel and Event Coordination - Plan and coordinate multi-leg international travel (flights, accommodations, logistics, visas) - Organize logistics for internal and external events, offsites, and meetings Budget, Expenses, and Finance Support - Track and report personal and business-related expenses - Support invoice processing and coordinate with accounting or finance teams Communication and Stakeholder Management - Act as a point of contact for internal and external stakeholders - Handle communications on behalf of the executive with clarity and professionalism Project and Task Support - Use tools like Asana, Trello, or Jira to track progress and ensure follow-through - Maintain documentation, organize meeting notes, and ensure action items are completed - Support business initiatives and team accountability across functions Personal Logistics - Coordinate personal appointments and manage sensitive matters with confidentiality and care - Assist with household logistics and day-to-day personal tasks as needed Who You Are - 3+ years of experience as an Executive Assistant supporting senior leadership - Structured, detail-oriented, and comfortable managing complexity - Excellent time and calendar management skills, especially across time zones - Strong written and verbal communication skills - Proactive and resourceful; comfortable making decisions and proposing solutions - Project-minded and operationally focused - Tech-savvy: experience with Google Workspace, Slack, Asana, Trello, HubSpot, etc. - Fluent in English; Spanish or other languages are a plus - Professional, discreet, and emotionally intelligent Bonus Points - Experience in tech, finance, mining, or blockchain - Exposure to both startups and large organizations - Background in project management or operations - Familiarity with budgeting, invoicing, and financial reporting workflows
