We are seeking a Receptionist to serve as the first point of contact for the firm, ensuring that every client interaction aligns with our client’s brand and professionalism. The ideal candidate will be customer-focused, highly organized, and proficient in handling administrative and communication tasks. Work Schedule: Full-time (M-F 8:30 AM - 5:30 PM PST) Responsibilities of the role: Provide the first impression for the firm in alignment with its brand and values Answer multi-line phones with professionalism, friendliness, and efficiency Manage and maintain a welcoming office environment for clients and staff Handle daily digital filing of mail and legal documents Set appointments in Clio and update contact information in the firm’s database Communicate effectively with attorneys, courts, clients, and other stakeholders via phone, email, and written correspondence Support the firm's administrative team with additional tasks and projects as needed Protect partners and administrators’ time by filtering unsolicited calls and visits Manage, sort and save documents efficiently Required Experience and Qualifications: Prior experience in an administrative or receptionist role Ability to multitask in a fast-paced legal environment Highly organized with strong attention to detail Proficiency in Microsoft Office 365 and email communication Language requirement: Minimum C2 level English proficiency Preferred Skills: Experience with Clio, Rainmaker, or Connect UC is a plus (training will be provided) Familiarity with law firm administrative tasks is advantageous Salary and Benefits: Salary paid in USD or local currency, based on candidate preference. Equipment expenses will be reimbursed by the client. Technical Requirements (Must be met before applying) Memory: 16GB RAM with at least 4 GB available storage Connectivity: Direct wired connection to modem required for phone setup Equipment to Purchase (Provided After Hiring) Reception phone (latest models to be provided by the firm) Company Policies The employee will receive a company email and be required to use Outlook and Teams for communication. The Technology Department will verify equipment compatibility before onboarding.
