JOB DESCRIPTION The primary function of the Marketing/Admin Assistant is to provide full-scale marketing, administrative, and operational support to a real estate professional, ensuring seamless execution of business functions. The ideal candidate will be highly organized, proactive, and detail-oriented, with excellent communication skills and a strong eye for design and branding . They must be able to manage multiple platforms, execute marketing strategies, and oversee transaction-related administrative duties. This position requires someone who is proficient in digital marketing, CRM management, administrative support, and client communication. The assistant must be self-sufficient in handling tasks related to social media management, transaction coordination, email marketing, and general business operations. RESPONSIBILITIES Marketing & Branding: Develop and execute comprehensive marketing strategies across all platforms. Manage and optimize social media accounts (Instagram, Facebook, LinkedIn, YouTube, Google Business, etc.), ensuring brand consistency. Create, schedule, and engage with social media content, including graphic design, captions, and community interaction. Develop email campaigns, newsletters, and referral marketing initiatives to nurture leads. Execute SEO optimization and oversee website backend management. Design and develop high-quality marketing materials , including listing brochures, digital ads, and print collateral. Assist in planning and executing open house marketing and lead generation campaigns. Manage branding efforts, including merchandise, promotional materials, and event planning. Administrative & Operational Support: Oversee full-scale CRM management (Follow Up Boss, Moxi, ActivePipe, RealScout) to ensure client and lead tracking efficiency. Manage scheduling, including showing coordination, calendar management, and travel planning . Handle inbox management, responding to emails and messages professionally and promptly. Provide on-demand support for various business tasks as requested. Track budgets for marketing and advertising expenses. Research and recommend new tools and systems to improve efficiency. Assist with MLS management , including creating and updating listings. Ensure all required documents are collected, organized, and properly stored for transactions. Facilitate buyer and seller coordination , ensuring smooth communication. Provide open house follow-up and manage post-event marketing efforts. Schedule listing and buyer appointments, ensuring seamless transaction processes. Assist in researching off-market properties and curating property search campaigns. REQUIREMENTS Fluent English speaker (C1 level or higher) with excellent verbal and written communication skills. Minimum 2 years of marketing experience , preferably in real estate or luxury branding (portfolio required). Degree in Marketing, Social Communication, Graphic Design, or a related field . Strong proficiency in social media platforms, CRM tools, and digital marketing software . Exceptional attention to detail, particularly in writing, branding, and client interactions. Ability to work independently, take initiative, and problem-solve proactively . Highly organized with strong multitasking and time-management skills . Experience with transaction coordination and real estate admin support is a plus . Ability to quickly adapt to new technology and systems . HOURS Full-time position: 40 hours per week with one hour lunch , Monday to Friday, from 9:00AM to 6:00pm EST. Potential time zones may remain EST or change to PST or CST. COMPENSATION & BENEFITS Starting salary: $1,200 USD per month , paid in monthly installments. Salary increases after months #4 and #13 . Paid time off , including 10 vacation days, and dictated USA holidays by the company. Sick leave with paid days off for illness. Long-term employment opportunity with potential for growth.
