You'll be instrumental in handling invoicing, payment cycles, client onboarding details, and scheduling, playing a crucial part in our company's smooth and efficient daily business. Qualifications & Hard Skills: A Bachelor's degree in Finance, Business Administration, Accounting, or a similar discipline. Proficiency in English at a B2/C1 level, enabling clear communication. A solid 2-4 years of hands-on experience in financial, administrative, or client support roles. A strong foundational understanding of invoicing procedures and diverse payment systems. A good grasp of fundamental accounting principles and operational flows. Demonstrable proficiency with scheduling tools such as Google Calendar and Microsoft Outlook. Prior experience utilizing CRM software (like HubSpot) and invoicing platforms (such as QuickBooks, Bill.com, or Stripe). Responsibilities: Spearhead the accurate and timely creation, distribution, and diligent tracking of all client invoices. Actively monitor accounts receivable, ensuring prompt follow-up on any outstanding payments. Provide essential support in the collections process as and when required. Efficiently manage and process recurring monthly payments via credit card and ACH systems. Facilitate the smooth preparation, dispatch, and execution of client engagement letters. Assist in the development and drafting of customized service proposals tailored to client requirements and our service offerings. Expertly manage dynamic calendars, coordinating meetings and scheduling appointments for clients and internal stakeholders. Guarantee timely follow-ups and optimize overall time management through precise and effective scheduling practices. Technical Knowledge & Hard Skills: Expertise in managing the complete invoicing lifecycle, from accurate preparation and issuance to diligent tracking. Adeptness in handling various payment processing tasks, including recurring credit card and ACH transactions. Proven capability in accounts receivable, encompassing the monitoring of outstanding balances and proactive follow-up. Experience in effectively supporting collections activities when necessary. Skilled in using scheduling platforms like Google Calendar and MS Outlook for streamlined calendar management and meeting coordination. Hands-on experience with Customer Relationship Management (CRM) platforms (e.g., HubSpot) for maintaining client information. Practical experience with specialized invoicing software (e.g., QuickBooks, Bill.com, Stripe) for precise financial recording and management. Soft Skills: Exceptional organizational and task management abilities, keeping everything structured and on track. Clear, concise, and professional written communication skills, perfect for client correspondence. Strong verbal communication talents, ensuring effective interactions with clients and internal teams. Meticulous attention to detail, especially when handling sensitive financial data. A proactive and solution-focused mindset, with the ability to anticipate needs and resolve issues independently.
