We are seeking a highly organized and proactive Sales Department Assistant to support our dynamic sales team. This position plays a key role in ensuring seamless coordination between sales representatives, clients, and internal departments. Responsibilities - Provide excellent customer service to our customers. - Support the sales team with administrative tasks including order processing, quote creation, follow-ups and vendors order processing. - Assist in preparing sample menus, estimates, and quotes for prospective clients. - Manage incoming and outgoing calls with clients and suppliers, ensuring clear communication and timely resolution of inquiries or requests. - Conduct research on prospective customers, competitors, market trends, and more. - Act as a liaison between customers and the sales team to ensure smooth communication and quick resolution of inquiries. - Identify, follow up on, and help close potential sales leads. - Schedule appointments, manage calendars, and organize meetings and training sessions. - Track and compile weekly sales reports for the Sales Coordinator and Operations team. - Maintain and update CRM, client, and vendor databases accurately. Recommended Skills and Abilities - Excellent oral and written communication skills (ENG-SPA) - Strong organizational and multitasking abilities. - Proficient in Microsoft Office Suite (Word, Excel, Outlook);and QuickBooks is a plus. - Strong attention to detail and accuracy. - Comfortable using digital communication platforms (WhatsApp, Zoom, VoIP phone system, etc.). - Ability to work independently and manage time effectively in a remote setting. - Effective time and project management skills. - Fast learner with a proactive approach to problem-solving. - Ability to prioritize tasks and work well under pressure. - Ability to handle confidential information with discretion. Experience and Education - High School Degree or College Associated. - +2 years of experience as a virtual assistant. - Previous experience as a sales assistant, administrative, or customer service role is preferred. - Must bilingual: English Advanced and Spanish Advanced
