Responsibilities The successful candidate will demonstrate a "can-do" attitude and perform a broad range of advanced and diverse administrative duties. This position often handles highly sensitive and confidential information on a regular basis and requires a high level of discretion. Comprehensive experience, skill, and thorough knowledge of company operations, policies, practices, and procedures are required. Dependability is a must. Responsibilities include: Managing the VPs calendar and schedule, including coordinating meeting logistics globally. Preparing correspondence, reports, presentations, spreadsheets, etc. Scheduling appointments and meetings as well as attending meetings and running all logistics. Coordinating all aspects of complex travel arrangements for both domestic and international business travel including booking flights, hotels, and local transportation. Also providing agendas and itineraries and arranging passport/visa requirements if necessary. Screening telephone calls and visitors and resolving routine and complex inquiries. Preparing and reconciling travel expense reports in accordance with company policy. Reviewing and approving expense reports in accordance with company policy. Monitoring the VPs incoming email traffic by reviewing email, responding to issues, and bringing attention to urgent matters and customer requests. Maintaining an awareness of significant deadlines and schedules that impact the VP and staff such as salary reviews, performance evaluations, goal setting, etc. Communicating professionally with internal and external customers and executives. Supporting the VP’s organization on critical BPO, purchasing and other logistics. Arranging meeting logistics for customer visits and other events from start to finish. Learning and staying on top of company systems and policies, which are many and varied. Maintaining effective working environments for the VP and the local employees. Completing special assignments as required. Leading and completing project work associated with new tools and or business processes. Representing the executive professionally and enthusiastically at all times. Assignments will require independent judgment and creative problem solving. Job assignments may be complex in nature, with narrow deadlines. This challenging position requires both a high degree of flexibility and organizational skills. It requires strong partnership with other assistants in the organization. The successful candidate will work closely with the other executive assistants in CSG, Labs, and Central AI and Software Organization and may provide back-up support for their respective executives as needed. Qualifications Exceptional verbal and written communication skills. Advanced and current computer skills, including MS Office suite business applications. Knowledge of or willingness to learn IT tool management skills associated with Keysight’s SharePoint information management systems. Ability to work independently as well as part of a team. Excellent organization and time management skills. Excellent interpersonal skills and a pleasant, positive demeanor. Ability to exercise good judgment/decision-making when necessary. Ability to prioritize and take initiative. Excellent judgment and discretion is an absolute necessity. Must be able to work with employees at all levels of the company. Flexibility to work overtime as required. Ability to multi-task in a sometimes high-stress, demanding environment. Significant attention to detail and follow-through skills. Prior experience providing administrative support at a high level and having the poise, presentation, personality and initiative to be a top-notch, right-hand professional. Requires a minimum of 7 years directly related experience, with typically 9 to 15 years of experience. Requires higher education or specialized training/certificates, or equivalent combination of education and experience.
