Job Description The Events and Engagements Specialist will be responsible for implementing event plans, managing operational activities related to services provided by Scientific External Experts and Health Care Organizations during events, and owning the end-to-end process of all events. Key responsibilities include: - Partnering with transversal brand teams, creative agencies, HCOs, Associations, and exhibit vendors to provide an exceptional end-to-end experience at every event. - Providing input on site selection, service contractors, contract negotiation, and budget planning, as well as facilitating vendor selection. - Ensuring adherence to company policies, particularly those related to transparency and compliance. - Managing remote meeting management through local vendors, providing technical and analytical support for hybrid and virtual meetings. - Coordinating hotel accommodations, transportation, communications, and facilities support, program functions, and related activities. - Planning and monitoring different types of meetings, identifying risks early in the process, and setting up a risk mitigation plan. - Overseeing all program logistics, including attendee registration and data management, food and beverage selection, speaker communications, audiovisual needs, and off-site venues. - Ensuring budget management, financial reconciliation, and post-meeting reporting to identify synergies and cost-efficiencies achieved. - Serving as the subject-matter expert for the implementation and training of technology solutions, analyzing attendee data, and providing technical support and troubleshooting for One Sanofi platforms and other meeting technology solutions. On Engagements: - Dependent on event type, either overseeing or managing activities related to SEE/HCO/patient engagement for event-related services, from creation to post-event invoicing and transparency disclosures. - Providing input to the Global Rationale Form, creating and supporting Service Agreements, managing corresponding reviews and approvals, coordinating Agreement signatures, communicating with external and internal parties. - Managing financial approvals and post-event invoice payments. Requirements: - Bachelor's degree required. - Fluent in written and spoken Portuguese and English. - Direct experience in the pharmaceuticals and life sciences space. - Proficient in MS Office. - Meeting planning and project management experience is an advantage.
