The Executive Search Team Coordinator plays a vital role in providing administrative and operational support to the Executive Search team. This position ensures the smooth and efficient execution of executive-level searches by managing logistics, coordinating communications, maintaining data, and facilitating the search process. The ideal candidate is highly organized, detail-oriented, proactive, and possesses excellent communication and interpersonal skills. This position is based in Bogotá, Colombia operating in a hybrid model. Responsibilities may include the following and other duties may be assigned: Search Process Support - Coordinate and schedule interviews (phone, video, in-person) between candidates, search consultants, and hiring managers, managing complex calendars and time zones - Prepare and distribute candidate materials, including resumes, candidate summaries, and interview schedules - Manage travel arrangements for candidates and search team members, as needed - Track candidate progress through the search process, updating the ATS and providing regular status reports to the search team - Assist with the preparation of client presentations and reports, compiling data and formatting documents - Organize and maintain search files and documentation, both electronic and physical. - Support the onboarding process for placed candidates, as needed Communication and Correspondence - Serve as a primary point of contact for candidates, clients, and internal stakeholders, responding to inquiries in a timely and professional manner - Draft and proofread correspondence, including emails, letters, and meeting agendas - Assist with managing the flow of information within the search team, ensuring clear and consistent communication - Prepare expense reports and process invoices related to search assignments Data Management and Administration - Maintain the accuracy and integrity of the Applicant Tracking System (ATS), ensuring timely and accurate data entry - Generate reports from the ATS, providing data on search activity and key metrics - Assist with data research and special projects, as needed - Manage the team's calendar, schedule meetings, and coordinate team events Required Knowledge and Experience: - Bachelor's degree - Fluent in English - Two or years of experience in an administrative support role, preferably in a fast-paced environment such as executive search, recruiting, or professional services Excellent organizational and time-management skills, with the ability to prioritize tasks and meet deadlines - Strong attention to detail and a high degree of accuracy - Exceptional written and verbal communication skills - Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) - Ability to handle sensitive information with discretion and maintain confidentiality - Proactive and resourceful approach to problem-solving - Highly organized and detail-oriented - Excellent communication and interpersonal skills - Proactive and resourceful - Ability to work independently and as part of a team - Strong interpersonal skills and a customer service orientation Experience with Workday Applicant Tracking Systems (ATS) is advantageous Physical Job Requirements The above statements are intended to describe the general nature and level of work being performed by employees assigned to this position, but they are not an exhaustive list of all the required responsibilities and skills of this position.
