We are seeking a friendly, empathetic, and detail-oriented remote receptionist to join our clinic’s team. This person will play a crucial role in converting prospective inquiries into booked appointments through effective communication and follow-up. As the initial point of contact, you will handle both inbound and outbound interactions across multiple channels, including phone, email, text messages, and CRM platforms. Ideal candidates are bilingual (English and Spanish), have strong family values, and bring a mature approach to understanding customer needs.Responsibilities: Inquiries and Conversions: Handle inbound and outbound calls, emails, text messages, and CRM follow-ups to respond to inquiries, answer questions, and provide helpful clinic information to prospective clients. Probing Questions: Engage in meaningful conversations to understand each prospect’s needs and encourage them to book appointments by highlighting the clinic’s offerings. Appointment Scheduling: Actively work to convert inquiries into scheduled appointments, meeting or exceeding monthly conversion rate targets. CRM Management: Maintain accurate and updated records in Salesforce and Cohere, ensuring that all client interactions and follow-ups are properly documented. Follow-ups: Conduct timely follow-up communications via phone, email, or text to ensure prospects feel informed and encouraged to proceed with booking. Qualification and requirements: Experience: Proven experience in customer service, sales, or a related role. Languages: Bilingual proficiency in English and Spanish is required. CRM & Technology Skills: Familiarity with CRM systems such as Salesforce, Microsoft Office etc, with the ability to learn and adapt to other systems (e.g., Cohere). Communication Skills: Strong verbal and written communication skills, with the ability to actively listen, ask insightful questions, and create a welcoming experience for clients. Organization & Detail-Oriented: Excellent attention to detail and time management skills for effective follow-up and documentation. Bachelors degree or higher.
