Project Coordinator The primary role of this position is to oversee the entire lifecycle of a project, ensuring that it is completed on time and within budget. This involves coordinating with various stakeholders, including customers and internal teams, to ensure that all necessary documentation and communication are in place. - Collaborate with commercial operations team to confirm customer information and review order handoffs. - Verify order documents and engage with commercial team during project close-out. - Lead lessons learned meetings with operations, sales, and engineering teams. - Review and confirm service sales order documentation in SAP. - Facilitate communication between commercial operations team and operations team to compile details for Accounts Receivable reduction. - Manage commercial operations team and project management team to ensure timely payment for current and future sales orders. - Maintain and reduce overdue payments by collaborating with finance team and global business services. - Confirm product schedule, shipments, and delivery of materials for service sales orders. - Backlog management of assigned orders, properly phasing dates in SAP for delivery/invoicing and reporting revenues forecast and deviations. - Share lessons learned of orders, reporting deviations as well as good practices. - Provide administration assistance to project management team on related project orders and turnkey projects. - Communicate with customers regarding shipping and tracking information, questions regarding delivery and scheduling of materials, and interface with front-end sales contacts for verification of orders and project close-out. - Verify all necessary project and order documentation is complete, confirm HE scope of supply per customer PO and/or contract agreements, acknowledge project and orders are finalized, initiate order and project invoicing, work along with controller to review AR backlog, manage AR process on respective orders and projects, research and resolve any customer disputes, confirm collection of HE payments. - Send and follow-up customer satisfaction surveys related to assigned orders. - Ensure compliance with applicable external and internal regulations, procedures, and guidelines.
