This is a primarily internal-facing role with some client interactions. Position Overview: We're seeking a highly organized and self-sufficient Operations Manager to lead administrative operations, manage internal reporting and estimation workflows, oversee a small remote team, and coordinate closely with field leadership. The ideal candidate is detail-oriented, proactive, and thrives on creating clarity and efficiency in complex systems. This role plays a central part in keeping the business running smoothly and continuously improving. Key Responsibilities: - Team Management: Lead and support a small remote team (Bookkeeper, Estimator, Reporting Specialist), set goals, provide feedback, and ensure accountability. - Field Coordination: Work closely with field leadership to align administrative tasks with field operations and project timelines. - HR & Payroll Liaison: Coordinate onboarding, benefits, and payroll with the companys PEO; ensure policy compliance and assist with employee issues. - Insurance & Compliance: Manage insurance renewals and COIs; stay up to date on regulatory requirements and maintain documentation. - Administrative Oversight: Delegate and oversee admin tasks such as report formatting, travel booking, task assignments, and supply purchasing. - Reporting QA: Review client-facing reports for accuracy, formatting, and completeness; ensure timely reporting from all active sites. - Vendor Management: Manage vendor relationships and contracts; monitor usage and negotiate renewals or changes as needed. - Process Improvement: Lead small internal ops projects to streamline systems, improve documentation, and increase operational efficiency. Qualifications: - 4+ years of experience in operations, administration, or team coordination roles. - Proven experience managing and supporting a team. - Strong written and verbal English communication. - Experience working with US-based teams. - Proficient in Microsoft Office (Word, Excel, Outlook). - Self-directed, organized, and detail-focused. - Reliable internet and up-to-date computer setup. - Comfortable solving problems and asking for help when needed.
