Job Title: Admin Assistant (LatAm candidates) Working Hours: Monday to Friday, 9am to 5pm PST Salary:$1,200 - $1,400 Monthly Overview: We are seeking a highly organized and detail-oriented Virtual Administrative Assistant to provide support for property management and operations. In this role, you will be the primary point of contact for residents and assist with various administrative tasks, including managing leases, scheduling, and coordinating with vendors. You will also support the operations manager with resident management, office tasks, and financial reporting. Experience in real estate is a plus. Primary duties; Maintain accurate records of tenant applications, leases, and property listings using OneSite software. Assist in the management of property maintenance requests and coordinate with facilities management to ensure timely resolutions. Handle inquiries via phone and email with professionalism, demonstrating excellent phone etiquette. Negotiate lease terms with potential tenants while ensuring compliance with company policies. Manage conflicts effectively by addressing tenant concerns and providing solutions in a timely manner. Stay informed about Section 8 housing regulations and assist eligible tenants through the leasing process. Collaborate with the property management team to ensure all aspects of leasing operations run smoothly. Additional Responsibilities: • Resident Support: Serve as the primary contact for current and prospective residents, handling virtual inquiries, maintenance requests, scheduling showings, and providing leasing information. • Lease Management: Prepare and execute paperwork such as leases, lease amendments, renewals, and contracts. Follow up on delinquent accounts. • Communication: Relay important announcements and notices to residents through various channels, ensuring timely and effective communication. • Operations Support : Act as an administrative assistant to the operations manager, managing relationships with residents, vendors, and internal teams. • Office Management: Handle general office tasks such as ordering supplies, submitting maintenance requests, and scheduling couriers. • Financial Reporting: Manage monthly asset management fees for all properties and entities. Prepare monthly expense reports for executives and employees, handle receipt filings, and data uploads. • Marketing Effectively market and manage vacant units by implementing targeted outreach strategies, optimizing listings, and coordinating showings to ensure timely occupancy and maximize property revenue. • Market Research: Conduct market research to assist in property management and operations. • Calendar & Contact Management: Manage calendars, schedule appointments, and maintain contact lists. Prepare daily tasks and reminders for the team, and follow up as needed. • Resident Payments: Assist residents with processing rent payments and resolving any payment-related issues. • Document Management : Work closely with lenders and brokers to collect, organize, and send required property documents. Qualifications: • Proven experience as a Virtual Assistant, preferably in a real estate-related role. • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Drive. • Experience with property management software is a plus. • Ability to answer phone calls, texts, and emails within a timely manner during work hours • Excellent organizational and multitasking skills. • Knowledge of online calendars and scheduling tools (e.g., Outlook, Doodle). • Ability to handle sensitive information with discretion. Additional Considerations: • Strong communication skills are required for interacting with residents, vendors, and internal teams. • Experience working in real estate or property management is highly desirable. • Must be able to work efficiently in a fast-paced environment and manage multiple tasks simultaneously.
