Key responsibilities ● Meetings – Schedule with stakeholders, prepare concise agendas and pre-reads, take clear notes, and publish action items with owners and due dates. ● Asana triage – Monitor all project boards, surface urgent tasks, reassign mis-routed tickets, close completed items, and flag blockers. ● Team operations – Gather weekly status updates from account managers and individual contributors. ● Build decks, one-pagers, SOPs, and internal memos that translate complex topics for clients and frontline teams. ● Refine templates, workflows, and knowledge bases so information is easy to find and meetings end with clear next steps. What makes you a strong fit ● 4+ years supporting a C-level or VP who juggles technology and client service (agency experience a plus). ● Proven success guiding cross-functional meetings and driving follow-through. ● Expert user of Asana (or similar), Slack, and Google Workspace. ● Written and verbal communicator able to summarize technical discussions in plain English. ● Analytical mindset; comfortable pulling numbers and calling out trends. ● Flexibility for early-morning or late-evening check-ins with overseas teams Nice-to-have ● Familiarity with development roadmaps and common web tech stacks. ● Experience building internal ops playbooks or scaling agency processes.
