Job Title As an Executive Assistant to the Chief Operating Officer, you will be responsible for handling administrative tasks and providing support to the COO. This role offers a unique opportunity to be immersed in the day-to-day operations of a growing startup and gain exposure to startup strategy, internal operations, and product development workflows. - Manage calendars, schedule meetings, and coordinate availability with internal and external contacts. - Send reminders and follow-ups to team members, vendors, or collaborators. - Monitor and manage communication channels (email, group chats, text). - Take meeting notes and track action items. - Organize and maintain digital files in Google Drive. - Assist with simple operational tasks, errands, and research. - Prepare basic reports, summaries, or checklists to support leadership. - Help maintain a smooth workflow by ensuring deadlines and priorities are tracked. - Serve as a point of contact for reminders, check-ins, and coordination with interns or team members. - Perform light administrative work as needed (printing, ordering supplies, organizing workspace). Requirements To succeed in this role, you must possess exceptional communication and interpersonal skills, be highly organized and detail-oriented, and have a proactive, self-motivated, and reliable approach to work. You should be proficient with Google Drive (Docs, Sheets, Calendar, etc.) and basic productivity tools, and comfortable working in fast-paced environments with shifting priorities. 1. Fluent in English and Spanish (written and verbal). 2. Exceptional communication and interpersonal skills. 3. Highly organized and detail-oriented. 4. Proactive, self-motivated, and reliable — able to work without constant supervision. 5. Proficiency with Google Drive (Docs, Sheets, Calendar, etc.) and basic productivity tools. 6. Comfortable with fast-paced environments and shifting priorities. 7. Previous experience as an Executive Assistant or Administrative Coordinator is a plus. 8. Interest in startups, medical devices, or healthcare innovation is a bonus.
