This position requires a detail-oriented, tech-savvy individual who can handle multiple tasks, from data entry in QuickBooks and Salesforce to managing virtual mailboxes and organizing bills. The ideal candidate will possess strong organizational skills and a willingness to learn new tasks, ensuring efficient day-to-day operations. 🔍💼 Key Responsibilities: Administrative Support: Perform a wide range of administrative tasks, including data entry in Salesforce and QuickBooks, organizing virtual mail, and processing payments. 📊📬 Data Management: Ensure accurate entry and maintenance of data in Salesforce and QuickBooks, supporting financial records and CRM systems. 🖥️📑 Virtual Mailbox Management: Monitor, download, and organize virtual mail, including processing bills and depositing checks as required. 📨💵 Travel Coordination: Occasionally assist with travel bookings, including flights, accommodations, and itineraries. ✈️🏨 Task Prioritization: Manage the executive's calendar, ensuring priorities are aligned with business goals and personal tasks. 📅✅ Detail-Oriented Execution: Maintain high standards of accuracy in task completion, proactively addressing potential issues to avoid delays. 🛠️✔️ Requirements: Qualifications: Experience: Minimum 2 years of experience in an administrative or assistant role. 🧑‍💼📋 Tech-Savvy: Proficiency in Salesforce, QuickBooks, and Excel is required. Experience managing virtual mailboxes and remote systems is preferred. 💻📈 Detail-Oriented: Ability to maintain a high level of accuracy and attention to detail in all tasks. 🧐📌 Communication: Strong written and verbal communication skills. Must be able to communicate effectively and clearly with the executive team. 🗣️✍️ Autonomy: Capable of working independently, taking ownership of tasks, and ensuring completion without constant supervision. 💪📚 Organizational Skills: Ability to handle multiple responsibilities, prioritize effectively, and streamline executive operations. 📂⚙️ Preferred Skills: Experience working with remote teams. 🌐💼 Prior experience in a real estate or financial environment. 🏡💰 Familiarity with time management systems such as Hubstaff (though not required). ⏳🔧 Schedule: Full-time position with flexible hours.
